Legal intake software is the category of tools that manages everything between a prospective client's first contact and the signed engagement: capture, screening, scheduling, follow-up, e-signature and reporting.
It sits between the website and the case file: the site earns the contact, the tool records and routes it, practice management takes over after the signature.
It is also the software layer of law firm CRM; vendors use intake software, intake CRM and legal CRM interchangeably, so judge products by the stages they log.
What legal intake software actually is
Client intake software for lawyers holds one record per prospective client and moves it through fixed stages: inquiry, reached, screened, consultation booked, retainer signed or lost.
In Clio's 2024 secret-shopper test of 500 US law firms, 33% of firms contacted by email responded, and 48% of phoned firms were unreachable even after a chance to reply.
The software's first job is to turn every call, form, chat and email into a record with a source attached; 68% of consumers first reached a law firm by phone in Clio's 2019 survey (multiple answers allowed).
Intake software: first contact to signature
- Capture: web forms, chat and call logs, source attached
- Screening and routing, with a conflict-check handoff
- Online booking without phone tag
- Automated email and text follow-up
- E-signature and payment links
- Reports: cost per lead, consultations, sign-ups, revenue by source
Practice management: retainer to resolution
- Matter files, documents and deadlines
- Billing, time tracking and trust accounting
- Client portals and secure messaging
Do you need it on top of your practice management system
The question is fair because practice-management products now ship intake features: MyCase's Benchmark Report 2024 says its customers shared over 368,000 client intake forms in 2023, and websites MyCase built took in over 100,000 leads through Contact Us forms; volume counts, not conversion rates.
The gap is the phone, where 68% of first contact happened in Clio's 2019 survey against 25% by email or form, and a form add-on only captures the quarter that fills out forms.
The honest test is coverage between ring and signature: if your system already logs source, follow-up attempts, consultations and outcomes, you may not need another tool; if those stages live in inboxes and memory, a dedicated tool makes a signed-case rate by source calculable.
What it does from first click to signature
Online intake is what prospective clients see: a short form, a booking calendar and an e-signed engagement letter, so first contact can complete outside office hours.
What the form should ask is covered on legal intake forms, and the booking calendar on law firm online scheduling.
After capture the job is persistence: automated email and text follow-up on a schedule, where unaided firms fail, since 79% of consumers expected a reply within 24 hours in Clio's 2019 survey (a stated preference, not measured behavior).
E-signature closes the loop under the federal ESIGN Act: 15 U.S.C. §7001 says a signature, contract or record may not be denied legal effect solely because it is electronic, with consumer-consent provisions in §7001(c).
ESIGN also preserves other requirements (§7001(b)): ABA Model Rule 1.5(c), for example, requires contingent fee agreements to be in writing and signed by the client, and your state's adopted version controls what a valid fee agreement needs.
What intake software measures
Across vendors the products describe the same core metrics in their own words: lead source, cost per lead, consultations, sign-ups and revenue by source; Lead Docket tells firms to measure revenue by marketing source, and Captorra reports cost per lead and cost per sign-up.
The one published number is a vendor ratio: in MyCase's 2024 Benchmark Report (2023 data from its own systems), consultations logged equaled 14% of leads logged, from 7% in personal injury to 27% in trusts and estates; MyCase ties the spread to how much practice areas shop around, and many firms never log consultations, so it is not a booking rate or a benchmark.
Practice areas clearly differ, so measure your own funnel; consultation to signed case rate explains that calculation.
On growth, the published evidence is the vendor's own correlation: among firms using Clio's intake/CRM product, growing firms used 15% more of it than stable firms and 44% more than shrinking ones (Clio's 2025 Legal Trends Report); correlation, not causation.
What legal intake software costs, as of October 2026
Clio publishes the only flat number: plans start at $49 per user per month, with Grow included in Elite and sold as an add-on to Core and Signature at an unpublished price, and Grow's AI agents priced per matter hired with the AI's help (Clio's pricing page, October 2026).
Lawmatics publishes no prices: Essential, Premium and Enterprise sell by custom quote, with intake, custom forms, e-signature and SMS in Essential and AI lead qualification priced by credits (Lawmatics' pricing page, October 2026).
Lead Docket, now part of Filevine, shows a Get a Custom Quote button and lists intake scripts, marketing-spend tracking, automated follow-up and AI case summaries (October 2026).
Captorra, sold through Martindale-Avvo, also publishes no prices, and its page claims firms see a 27% average increase in new clients and cases after adding it, a claim with no disclosed method.
For the two products firms compare most, Lawmatics vs Clio Grow has its own page.
AI features and the rules that reach into them
Firm-side adoption is thin: in Clio's 2024 test, as summarized by 2Civility, 7% of the firms used website chatbots, and three in five prospective clients would use one only if they could switch to a human.
ABA Formal Opinion 512 (2024) applies existing Model Rules to lawyers' use of generative AI, listing competence (1.1), communication (1.4), fees (1.5), confidentiality (1.6), duties to former and prospective clients (1.9(c) and 1.18(b)) and supervision (5.1 and 5.3).
Model Rules bind no one until a state adopts them, state bars have issued their own AI guidance, and these tools hold information from people who may never become clients, so confirm any AI setup with your state bar's ethics counsel or an ethics lawyer.
How to tell whether your firm needs dedicated intake software
- Inquiries live in inboxes and memory, with no record of repeat contact.
- You cannot say which source produced your last ten signed cases.
- After-hours form fills wait until someone checks email next morning.
- Consultations get held but never logged, so a consultation-to-signed-case rate cannot be calculated.
- Retainers still get printed, signed by hand and scanned back in.
Any one of those is a logging gap this category exists to close, not a promise that a tool signs more cases by itself.
The cheapest next step is to mystery-shop your own firm by phone, email and chat, logging answer rate, reply time and whether cost and next steps came up, the criteria Clio's researchers scored in 2019; the test design is ours, built on Clio's published criteria.
More Booked Cases tests the website and landing pages and measures consultation and signed-case rates with read access to the firm's intake or CRM numbers; Gabe does not sell, set up or staff intake software, answer calls or train intake.
Frequently asked questions
What is legal intake software?
Software that manages everything between a prospective client's first contact and the signed engagement: capture, screening, scheduling, follow-up, e-signature and reporting by lead source.
Is legal intake software the same as practice management software?
No. Practice management runs the matter after the retainer, and intake software runs the pipeline before it. Some products include both halves, so check which stages a tool actually logs rather than trusting the category name.
Which legal intake tools publish their prices?
Clio's plans start at $49 per user per month as of October 2026, with its Grow intake product included in the Elite plan and sold as an add-on at an unpublished price. Lawmatics, Lead Docket and Captorra publish no prices and sell by custom quote.
Can AI handle law firm intake?
Vendors sell AI agents and AI lead qualification, and ABA Formal Opinion 512 (2024) applies existing Model Rules, including confidentiality and supervision, to lawyers' use of generative AI, with your state's adopted rule controlling. The software also still needs someone to answer the phone and judge fit.
Does More Booked Cases sell or set up intake software?
No. Gabe tests the website and landing pages, and measures consultation and signed-case rates with read access to the firm's intake or CRM numbers. He does not sell software, staff intake or answer calls.
